When our services are used, your company is trusting us with information and
we understand this is a significant responsibility. We will do our best to
protect your information and keep you in control.
This Privacy Policy provides information on what information we collect, why
we collect it and how you can manage the information.
Functional Scope of Timekeeper
The Timekeeper Labour Rostering &
Time Attendance System provides a collaborative workspace for management and staff.
Beside scheduling/rostering and clocking time attendance, Timekeeper also includes
multi-level approval for leave request, swap shift request and time discrepancy.
Various reports can generate by Timekeeper including EFTE (Equivalent Full Time Employee).
User Creation Rights
After the initial set-up, only your
Corporate H.R. Division and Management has the rights to create, manage, amend and archive
users. Unless advised to us expressly in writing, we will not make any
amendments without H.R. division or management’s prior approval.
Login ID and Password
Your Login ID and Password are unique to
your account. Each individual is responsible to update their passwords and
to keep them confidential. You are ultimately responsible if you lose or are
careless with your password. Your password is like the keys to your home or
your safe. Protect it carefully. You have the right to change your password
at anytime through the Update Account Info. available in the header.
Information collected and stored
We do store everyone’s Login ID
as this determines the user fees under the Software as a Service model.
Other than this, we do not store any of your private information nor do we
have access to it. Your company may store information such as the frequency
of login, date and time of login and logout. However, for the majority of
the platform there is no private data stored except by the Human Resources
and Learning & Development divisions of your company. Basic Information
stored, and any information on leave or payroll, is only visible by your
H.R. division and you yourself through the Associate Portal. Also your
private email may be stored by the H.R. division. There is no payment
information stored by the system as there are no e-commerce applications
within the platform.
Your photo may be stored by the H.R. Division, if the H.R.I.S. is utilized.
However, you have the right to store, amend, delete your own personalized
photo at any time. This is always within your own control.
Data on the company is under the ownership of your own company. Your company
may choose to give our programmers and team access to this information, for
program improvement, or may choose to revoke any rights for our team through
the User Access Control. At any time, your H.R. Division and management can run reports to
see who has access to the system and to the data stores in any corporate
division, project, preopening or property operations department.
We do store information on your originating IP Address in order that we can
detect/track where the access is coming in from as well as location of
access, device type, operating system, mobile network information including
carrier name and phone number. We may also store some information on your
interaction with apps, browsers, system activity, crash reports and URL of
your request. This is so that we can enhance the system and improve
security. We do also from time-to-time run diagnostics report to see if we
can detect any unauthorised use of the system.
Your location information may be collected from us if it helps us to bring
in features such as local weather or to facilitate a tag when uploading a
document or image. The information we may collect depends in part on your
device or account settings. For example, you can turn your device’s location
off within your own device.
We do not collect any information from any publicly available source, nor
any marketing partners nor conduct any advertising nor conduct any research
based on any of your data.
Reasons for collecting data
The data collected and
stored is used only to i) provide, maintain and improve our services; ii)
develop new services; iii) provide a personalized experience.
We do not share any data with any outside company, third parties or any
organisation. Our team of programmers are also under strict confidentiality
agreements.
Communication
We use information which is provided to
us such as your company email address only to communicate with you, answer
your questions and to interact with you directly. Your company email address
may also be used by the system to send you notifications and alerts which
have been set-up by your own company. You may choose at any time to inform
us not to communicate with you or to contact the originating division of the
notification or alert to inform them to remove you from their list. This is
always under your control. We do not share your email address with any
outside organisation for any purpose without receiving your prior approval
unless it is to respond to you for a specific request.
Protection Users, Public and Timekeeper
Any information collected is to
protect Users, Public and Timekeeper from any fraud, abuse, security risks or
technical issues that could harm you, the public or Timekeeper. We also use
systems to detect abuse such as spam, viruses, malware or any content which
be illegal.
Your visible data
Your visible data within the
platform (after login to the system) is your name, title and company email
address. If you do not wish to have any of the information
displayed, you can contact your H.R. division who can provide ways to
present less information regarding your data. This is subject to your own
company policy. None of this information is available in the public domain
(i.e. pre-login).
Cookies
Cookies help to store your preferences to make
your re-access to the site more efficient. You can always refuse the cookies
and clear any cookies at any time through your own browser.
European GDPR
The European Union law requires that you
have control of your own data. Since the Timekeeper data is not available in a
public domain, and requires a company sanctioned login ID and credentials,
whatever data is then displayed post login can be controlled by you or your
company through the H.R. division. You have the right to request access to,
update, remove and or restrict any information pertaining to yourself. You
also have the right to object to the processing of your information or the
exporting of that information to another service.
Amendments to Policy
We may from time-to-time amend
the policy. But we will never reduce your rights under the Privacy Policy
without your explicit consent. We will always indicate the effective date of
the new policy and give you access to archived versions if required.
Your Consent
If for any reason your information is to
be used for any purpose that isn’t covered by our Privacy Policy, rest
assure that we will first ask you for your written consent.
